(applies to all Supergrevet events, e.g. Vienna–Berlin, Vienna–Trieste, Milan–Munich, Basel–Kleve)
1. Organiser
1.1 The events under the Supergrevet brand (hereinafter the “event”) are organised by Eposphere UG (haftungsbeschränkt) – Grevet is a brand of Eposphere UG, represented by the managing director Tim Sparenberg, Oderstr. 18, 10247 Berlin, Germany. Commercial register: Amtsgericht Charlottenburg, HRB 274860 B. VAT ID: DE 456 29 60 70. Email: info@grevet.de. Web: www.supergrevet.de / www.grevet.de (hereinafter the “organiser”).
These T&Cs are drawn up in German. German law applies exclusively, to the exclusion of the UN Convention on Contracts for the International Sale of Goods. In the event of doubt, the German version prevails.
2. Nature of the event
2.1 The event is a self-supported recreational cycling ride without competitive character, taking place both on normal roads and on forest and field tracks.
2.2 By registering, all participants expressly declare that they are aware of the specific dangers of a long-distance, self-supported cycling event.
2.3 The roads along the route are not closed to traffic or to uninvolved persons.
3. Conditions of participation
3.1 Participation is in principle open to all interested persons. Requirements:
3.1.1 Minimum age of 18 years.
3.1.2 Sufficient physical fitness and state of health to carry out the planned activities on one’s own responsibility.
3.1.3 Own equipment (bicycle, helmet, emergency bivvy, etc.) that meets the applicable safety standards.
4. Obligations of participants
4.1 Each participant is obliged to read the information on the schedule, routes and organisational notes provided in advance of the event and to make appropriate preparations.
4.2 Each participant confirms that the personal details provided at registration are correct.
5. Participation at one’s own responsibility / liability
5.1 Participants take part at their own responsibility and own risk.
5.2 Subject to the provision in clause 5.6, the organiser accepts no liability for accidents, injuries, damage to property or other losses that may occur during the event.
5.3 Participants must at all times choose their riding speed according to their riding ability and physical condition.
5.4 Liability for typical forest hazards such as falling branches, rockfall, ruts, etc. is excluded.
5.5 The organiser accepts no liability for theft or loss of personal items, including bicycles, equipment and valuables, unless there is intentional or grossly negligent conduct on the part of the organiser.
5.6 The organiser is liable only in cases of intent, gross negligence and injury to life, body or health.
5.7 Insofar as the organiser’s liability is excluded or limited, this also applies to the personal liability of its employees, staff, representatives, volunteers and vicarious agents.
6. Registration / booking
6.1 Registration and booking of services takes place online via www.supergrevet.de, www.grevet.de or published partner pages.
6.2 You will receive a confirmation of your booking request by email. Your request is then reviewed and you receive a binding invoice. Note: the event is subject to the minimum number of participants under clauses 7.4 and 22.3.
7. Conclusion of contract
7.1 A contract is concluded when the participant accepts the T&Cs and any other rules upon registration. After receipt of full payment of the participation fee in the organiser’s account, the participant receives an official confirmation of registration, with which the participation contract is concluded. The participation fee must be paid in full within 7 days of invoicing, but no later than 14 days before the start of the event. If payment is not made on time, the organiser reserves the right to allocate the place elsewhere. Booked additional products remain the property of the organiser until paid in full.
7.2 The organiser may decide at its own discretion and at any time whether to accept the registration of an individual or not. No justification is required.
7.3 The organiser may exclude participants who breach the rules or safety requirements from further participation. In this case the participation fee is not refunded.
7.4 Minimum number of participants (condition): The conclusion of the contract is subject to the condition precedent that at least 20 participants per event date have registered and paid. If the minimum number is not reached, the organiser may cancel or postpone the event in accordance with clause 22.
8. Route, deviations and closures
8.1 Navigation is carried out independently on the basis of the provided GPX track. This is to be understood as a suggestion and may or must be left if, for example, (short-notice) obstacles appear, planning errors exist, or the legal situation (e.g. short-notice path closures) does not allow it to be followed.
8.2 Appropriate hardware and the knowledge to use it are assumed.
8.3 The organiser accepts no responsibility for damage or accidents caused by route deviations or obstacles on the route.
9. Safety measures
9.1 Participants are obliged to comply with the applicable traffic rules and laws during the event.
9.2 The road traffic regulations and the forest laws of the respective countries and federal states must be observed.
9.3 A helmet is mandatory on all routes. For night riding, functioning lighting in accordance with the German road traffic licensing regulations (StVZO) is strictly required.
10. Self-support and experiencing nature
10.1 The event emphasises the core aspect of self-support. Participants are responsible for their own food and equipment.
10.2 The experience of nature is central. It is important that all participants treat the environment and other path users with consideration.
11. Insurance
11.1 All participants must have liability insurance, whether through a federation or their own private policy.
11.2 All participants are also responsible themselves for valid health, international health and accident insurance during the event, or should ask their existing insurer whether participation in sporting events is covered.
11.3 The organiser strongly recommends that all participants take out international repatriation insurance.
11.4 Please note that the rescue of persons in mountain distress, in particular by air and mountain rescue, can lead to high costs. Mountain rescue insurance (in particular to cover rescue and air rescue costs) is therefore recommended; the organiser is not liable for such costs.
12. Data protection and processing of personal data
12.1 By registering, participants consent to the processing of their personal data for the purpose of organising the event. During the event, photo and video recordings may be made by the organiser. Participants agree that this material may be used free of charge for press work, advertising purposes and online presence. An objection to use is possible in writing at any time. Content already published will not be removed retroactively. Print products may continue to be used until the next edition. Publication always respects the personality rights of participants.
12.2 Completed routes and real-time locations are displayed on our website for a period of 3 months. If you do not want your name to appear, you can choose a nickname. This processing is necessary for the performance of the contract that you join by registering.
12.3 We process your personal data to manage your registration for the route and to provide you with the requested services. The services include sending electronic communications with relevant route information and processing participants’ location during the route.
13. GPS tracking and display of location
13.1 GPS tracking during the event is mandatory and serves the safe running of the event, organisational coordination and the display of your completed routes and your real-time location on our website for a period of 3 months.
13.2 By taking part in the route you expressly consent to your location data being recorded, processed and displayed for a period of 3 months.
13.3 Appropriate hardware for independent navigation and the knowledge to use it are assumed.
These provisions apply in addition to our general privacy policy.
14. Data security
14.1 We take appropriate technical and organisational measures to ensure the security of your recorded location data and to prevent unauthorised access.
15. Right of withdrawal
15.1 As this is a leisure event and the service is provided on a specific date or period, there is no right of withdrawal pursuant to § 312g(2)(9) of the German Civil Code (BGB). In the event of later cancellation or non-attendance, there is no entitlement to a refund. In the event of cancellation up to 60 days before the start of the event, the decision on a partial refund is at the reasonable discretion of the organiser.
16. Rebooking
16.1 Rebooking to a person named by the customer is possible for a fee of 15% of the participation amount.
17. Ticket and travel cancellation insurance
17.1 It is recommended to take out ticket and travel cancellation insurance.
18. GPS tracker deposit
18.1 On booking, a deposit of €50 per GPS tracker is charged. After the tracker is returned, the deposit is refunded.
18.2 In the event of loss, the deposit is retained and an additional fee of €100 per tracker is charged; in total therefore €150 per tracker.
19. Medical certificate
19.1 In some countries such as Italy and France, a medical certificate of physical fitness for cycling is required. Where local legislation requires a certificate, it must be presented at the start of the event.
20. Required equipment
20.1 Participants must equip themselves independently before the event according to the event and weather (lights, clothing, food, water, navigation device, first-aid kit, tools, etc.).
20.2 This includes, among other things:
- A helmet that meets the TÜV/GS standards (mandatory).
- A GPS device to follow the track, with sufficient power capacity (e.g. power bank).
- At least 32 mm tyre width, recommended ~40 mm and more.
- Overnight luggage, ideally stowed in bikepacking bags (classic panniers are not suitable for this off-road tour).
- Lights, ideally strong head and bike lamps with sufficient power capacity or a hub dynamo.
- Multitool, chain lock, spare brake pads, two spare tubes, pump, tube and tyre patches.
- Spare derailleur hanger for your bike.
- Sufficient food and drink.
- Suitable clothing for weather and season.
- First-aid kit.
- ID for border crossings.
21. Physical fitness and state of health
21.1 Each participant must have sufficient physical fitness and a good state of health to cope with the challenges of the long-distance ride.
21.2 The organiser recommends a medical examination before participating, especially for persons over 35 or persons with pre-existing conditions.
22. Cancellation, force majeure or change by the organiser
22.1 The organiser reserves the right to cancel or postpone the event for safety reasons (e.g. extreme weather conditions, official orders, force majeure). In this case the participation fee – less demonstrably incurred, non-refundable third-party and organisational costs – will be refunded or an alternative date offered. Further claims (e.g. travel or accommodation costs) are excluded.
22.2 Force majeure: events beyond the organiser’s control, such as natural disasters, pandemics, official measures, war or strike, release the organiser from the obligation to perform for the duration and to the extent of their effect.
22.3 Minimum number of participants (consequences & refund): If the minimum number of 20 persons is not reached by 14 days before the start of the event, the organiser may cancel the event or offer an alternative date. In the event of cancellation, the participation fee is refunded in full; further claims (e.g. travel or accommodation costs) are excluded. For an alternative date, participants can choose between rebooking (free of charge) and a refund.
23. Changes and additions
23.1 The organiser reserves the right to change or supplement these T&Cs as well as the routing and event arrangements at any time.
23.2 Participants will be informed of material changes in good time.
24. Severability clause
24.1 Should individual provisions of these T&Cs be or become invalid or unenforceable, this does not affect the validity of the remaining provisions.
24.2 The invalid or unenforceable provision is replaced by the valid and enforceable provision whose effects come closest to the economic objective pursued by the contracting parties with the invalid or unenforceable provision.
25. Prices / additional services / shipping
All prices are in euros including statutory VAT. Additional services (e.g. tracker shipping, T-shirts, etc.) are charged separately.
26. Place of jurisdiction
26.1 As far as legally permissible, the place of jurisdiction for all disputes arising from or in connection with the contract is Berlin.
27. Validity of the T&Cs
27.1 The T&Cs apply already at the time of booking and not only at the start of the event.
